  • STEP 01

    Create your account

    Sign up once with your name, institutional email and (optionally) your ORCID. The same account works across every ConferenceOS conference — you never re-enter your profile.

  • STEP 02

    Find the conference and open the CFP

    Browse the public conferences page or open a direct call-for-papers link from the organisers. Each conference has its own track list, timeline and submission rules.

  • STEP 03

    Start a submission

    Click "Submit a paper" on the conference page. You'll be added as an author for that conference and a draft submission is created for you to fill in.

  • STEP 04

    Add authors, abstract and files

    Add co-authors (they get an email invite), enter the abstract, choose a track and upload your manuscript plus any supplementary files. The form autosaves while you work.

  • STEP 05

    Submit before the deadline

    Review the summary screen, agree to the conference policies and submit. You can keep editing until the deadline closes — every revision is tracked in the history.

    Receive reviews and rebut (if open)

    When reviews land, you'll get an email and a notification in your dashboard. If a rebuttal phase is open, write a structured response to the reviewers right inside the submission.

  • STEP 07

    Get a decision and upload camera-ready

    Once the chair makes a decision (accept, conditional accept, reject), the letter and final scores appear on your submission. Accepted authors upload the camera-ready version and sign the copyright form.

    Register, present and get indexed

    Register as the presenting author, join the session live or on-site, and your paper appears in the citable, searchable proceedings the day they're published.

From invitation to meta-review

How to accept an invitation, bid on the papers that interest you, and submit reviews that chairs can actually act on.

  • STEP 01

    Accept the invitation

    The chair sends an invite to your inbox. One click confirms you'll review, opens your profile and adds the conference to your reviewer dashboard.

  • STEP 02

    Declare conflicts of interest

    Mark co-authors, recent collaborators and your home institution as conflicts. ConferenceOS also detects conflicts automatically from co-authorship and affiliation — you can confirm or remove them.

  • STEP 03

    Bid on papers

    Browse anonymised abstracts in your area and mark each as want, willing or conflict. Your bids feed the assignment algorithm so you get papers you're actually qualified to review.

    Get your assignments

    Once the chair runs assignment, your queue fills with papers respecting your bids, expertise and load quota. Each card shows the deadline and your current progress.

  • STEP 05

    Read and review the paper

    Open a submission to read the manuscript and supplementary files side-by-side with the review form. Scores, structured comments and a confidence rating autosave as you write.

    Discuss and rebut

    After the author response (if enabled), join a private reviewer discussion to align on borderline papers. You can update your scores before the chair makes the call.

    Submit meta-reviews (if you're an area chair)

    Area chairs synthesise the reviews into a meta-review and a recommendation. The final decision sits with the programme chairs, but your summary is what they read first.

    Pick a ticket and register

    Choose a ticket type — early-bird, student, full — apply any discount code, and pay in your local currency through the organiser's payment gateway.
